Turn scattered docs into a single source of truth.

Confluence itself is fine, but unless someone is actively gardening the content, spaces become a graveyard of outdated docs and duplicate pages. Search often surfaces ancient information first. We had to add a separate app just to help archive stale content. The tool is powerful, but it requires good governance.

We tried using Confluence for everything, including personal notes, and that was a mistake. It shines when used as a structured knowledge base with clear spaces and owners. For quick scratch notes, tools like Obsidian or Notion are better. Once we limited Confluence to official docs, satisfaction went way up.

For long-term documentation, Confluence is hard to beat. Tight integration with Jira makes specs, RFCs, and runbooks easy to link. The new AI-powered search and summaries help a lot when you’re digging through old pages. It’s not flashy, but for a serious knowledge base tied to tickets, it’s excellent.
